Administrative Assistant – Medical Billing

Qualifications:

  • High School Diploma or equivalent.
  • Proficiency with use of Microsoft Word, Excel and Outlook.
  • Professional communication skills.
  • Experience and/or familiarity with special education regulations and terminology preferred.
  • Minimum of one (1) year secretarial or data entry experience preferred.

Essential Responsibilities:

  • Coordinate School Based ACCESS Program billing services for the school age and early intervention programs which supports the programs by assisting in continuous generation of ACCESS funds.

Responsibilities:

  • General
    • Adhere to SBAP administrative procedures as established by the Department of Public Welfare and the PA Department of Education.
    • Perform program specific duties including monitoring and following up on outstanding paperwork, verifying accuracy and validity of SBAP provider logs, and ensuring required data is compliant with SBAP regulations.
    • Submission to third party and state vendors for reimbursement.
    • Order assistive devices for students with specific and unique communication needs. Billing of district as well as ACCESS if eligible.
    • Attends trainings as requested by immediate supervisor and/or required by SBAP.
    • Follow all established policies and procedures.
    • Any other duties assigned by the Director of Special Education or designee.
  • Documentation/Reporting:
    • Prepare monthly and quarterly reports as required.
    • Prepare required documentation for the annual cost settlement reporting.
    • Maintain copies of required staff certifications/licenses and monitor expiration dates to ensure continued Medicaid-eligible provider qualifications.
    • Process parent permissions to bill Medicaid, prepare appropriate paperwork, communicate relevant IEP information with contracted physician for obtaining medical authorization.
    • Obtain copies of prescriptions that meet eligibility under Medicaid rules.
    • Obtain attendance records for students and staff for the verification of the delivery of billable health related services.
    • Maintain and store records in accordance with SBAB rules and regulations.
    • Prepare billing for all eligible Evaluation Reports
  • Training Coordination and Implementation:
    • Provide training and guidance on the SBAP process, procedure, and systems to staff who provide services to Medicaid-eligible students.
    • Coordinate CPR & First Aid training for classroom staff.
  • Random Moment Time Study (RMTS):
    • Train and review job duties with time study participants.
    • Monitor participant moments; send staff reminders

Method of Evaluation:

  • This position shall be evaluated annually by the Director of Special Education in accordance with the Educational Support Personnel Collective Bargaining Agreement.
  • This job description is subject to change as determined by the Executive Director.

Supervisory Responsibilities:

  • N/A

Terms of Employment:

  • Employment shall be twelve [12] months per year. Salary and benefits will be in accordance with the Educational Support Personnel Collective Bargaining Agreement.

Work is done mainly indoors but could include outside tasks.
